Microsoft Multi-Factor Authentication (MFA) Setup

Purpose

This document provides step-by-step instructions for end users to set up Microsoft Multi-Factor Authentication (MFA) for their work or school account. MFA adds an extra layer of security by requiring a second verification method in addition to the password.


Scope

Applies to users with Microsoft 365 / Entra ID (Azure AD) accounts where MFA is enabled by the organization.


Prerequisites

  • Active Microsoft work or school account

  • Internet access

  • Smartphone (Android or iOS) or access to a phone number

  • Microsoft Authenticator app (recommended)


Microsoft Authenticator App (Push notification or verification code)


MFA Setup Steps (First-Time Login)

  1. Sign in to your Microsoft account:

  2. MFA setup prompt:

    • You will see a message: "More information required"

    • Click Next

  3. Choose authentication method:

    • Select Microsoft Authenticator app (recommended)

    • Click Next

  4. Install Microsoft Authenticator:

    • Android: Google Play Store

    • iPhone: Apple App Store

    • Search for Microsoft Authenticator and install

  5. Add your account to the app:

    • Open Microsoft Authenticator

    • Tap +Work or school account

    • Select Scan QR code

  6. Scan the QR code:

    • On your computer screen, a QR code will be displayed

    • Scan it using the Authenticator app

  7. Approve test notification:

    • Microsoft will send a test notification

    • Approve it from the Authenticator app

  8. Setup completed:

    • Click NextDone

    • MFA is now successfully configured


Alternative MFA Methods (If App Is Not Available)

Phone Number (SMS or Call)

  1. Choose Phone as verification method

  2. Enter your mobile number

  3. Receive and enter the verification code


Managing MFA Settings (After Setup)

  1. Go to: https://mysignins.microsoft.com/security-info

  2. Sign in with your account

  3. From here you can:

    • Add or remove authentication methods

    • Change default sign-in method

    • Update phone number

    • Register a new device


Common Issues & Troubleshooting

Did not receive notification

  • Ensure internet is enabled on your phone

  • Open the Authenticator app manually

  • Check notification permissions

Phone lost or changed

  • Contact IT Support to reset MFA

  • Or sign in using an alternative method if available

Time-based code not working

  • Enable automatic time sync on your mobile device


Security Best Practices

  • Do not approve MFA prompts you did not request

  • Register at least two authentication methods

  • Keep your phone secured with PIN or biometrics
